About Importing and Exporting Data

Imports and export settings and functions are configured in the Import Manager and the Task Manager available in the System area in Setup.

  • Import Manager: this area contains settings to process one-time imports, manage ongoing imports, and set up integrations for UKG Ready, and Workforce Dimensions integrations.

  • Task Manager: this area contains settings and task types to export data, conditionally initiate scripts and application functions either one-time or on a scheduled basis.

Note: A Gateway Manager (GM) license is required to enable Ongoing Import settings. Additionally, a Ready, or Dimensions license is required to enable the Integrations area.

Import Manager

This application provides a built-in Import Manager which contains setup settings for both the Initial Import, Ongoing Imports, and Blueprint Imports. Import and export file path locations are also included for informational and troubleshooting purposes.

  1. Internal ID1
  2. Target Date YYYY-MM-DD
  3. External ID

Initial Import

The Initial Import creates new items in Setup if that item does not exist in the initial database framework to support one-time data imports. The Import Manager identifies people in this order...

  1. External ID
  2. Payroll ID
  3. Employee ID

Ongoing Import

The Ongoing Import updates and maintains an existing database and supports scheduled data imports for existing Setup items only. The Ongoing Import requires a Gateway Manager license to enable settings. The Ongoing Import identifies people in this order:

Note: Ongoing export type tasks, such as the Payroll Export, Time and Labor 11, and Roster 08, are available in the Task Manager.

Additional Ongoing Import Specifications...

  • The External ID, Payroll ID, and Employee ID are used to identify the person or resource master to INSERT/UPDATE. After the person/resource master has been identified, then the correct Profile (resource) must be identified using the Internal ID, Target Date, or the External ID of the Profile.
  • Importing User Defined Fields require you to identify the applicable Profile, which means both the Person (resource master) and the Profile (resource) must be identified.
  • When inserting profiles through the Ongoing Imports area - all applicable and required fields must be supplied. For example, the ‘Rank’ or the ‘Job’.
  • Contains Workforce Ready integration add-on settings.
  • Contains Workforce Dimensions integration add-on settings.
  • Displays import and export file path information for the Integration Manager, Payroll, and FLSA.

Blueprint Import

The Blueprint Import creates, updates, and removes blueprint based events on the Planning board using the blueprint.xml file provided in the distribution files. The Blueprint import tool is located on the Planning Board. The Blueprint Import requires a Blueprint license to enable settings.
